When we run Adobe Acrobat training courses in London, one of the first topics we tackle is bookmarks. Almost everyone will agree that PDFs are a great invention but it can sometimes be rather tedious to navigate through them. That’s where bookmarks become useful: they are clickable headings which take you to a specific part of the PDF document and allow you to get around a lot faster than scrolling or paging.

When you distribute PDFs containing key information about your services or products, you want to make sure that your readers can find important facts as quickly as possible. Including bookmarks in your PDF files can make them more attractive and useful to potential customers.

The bookmarks panel is one of the navigation panels normally displayed on the left of the Acrobat Reader screen. To show bookmarks, click on the bookmark icon or choose View - Navigation Panels - Bookmarks. Click on a bookmark to move to the page that it links to.

Bookmarks cannot be created with Acrobat Reader: you will need either Acrobat Professional or Acrobat Standard, the commercial versions of Acrobat. But then you will also need one of these two bits of software to create your PDF in the first place.

To create bookmarks, open the PDF with Acrobat Standard or Professional and make the Bookmarks panel visible. Next, move to the first page that you want to link to, choose New Bookmark from the Options menu in the top right of the Bookmarks panel then enter a name for the bookmark. The same applies to tables of content and index entries. Similarly, if you use PDFMaker to convert an Excel workbook to PDF, bookmarks to each worksheet will automatically be generated. Even in PowerPoint, a bookmark to each slide in your presentation will be created for you.

The major DTP packages will also automatically create PDF bookmarks based on styles, indexes and tables of content), in much the same way as Word. This applies to QuarkXPress, InDesign and Serif PagePlus. If you own one of these three software applications, you don’t actually need to have a copy of Acrobat to create your PDF files, since this capability is built-in to each of these brilliant programs.

Don’t be fooled into thinking that bookmarks only be used to link to a particular page within the PDF document. (They can do tons of other things as well.) In any case, they actually link to a view not a page. Thus, for example, if a page in your PDF file contains a map, you can zoom in on the map till it fills the screen and create a bookmark of that view. When your user clicks the bookmark, he or she will be taken to the zoom level that was current when you created the bookmark.

Adobe Dreamweaver has brought the business of web development within the reach of everybody. Before you start, you should have a clear idea of what information you want to display in your web site and the options that will be available to visitors. The second important pre-Dreamweaver operation is the creation of a “local root folder”. This is Dreamweaver jargon for the folder that contains all of the files which form part of your site. Next, create a folder inside the “local root folder” which will hold your images. This will help you to avoid ending up with “broken images” on your site, where visitors are presented with an empty box instead of the actual image.

Now we can open up Dreamweaver and create a new web site. To do this, find the Site menu and choose New Site. When the New Site window appears, be sure to click on the Advanced tab at the top of the screen. Ironically Advanced mode makes it easier to select only the key options you need to enter. Of the categories displayed on the left, we will need to enter Local Info and Remote Info.

Local Info relates to your version of the site. In this window, first enter a name for the new site. Next, click on the yellow folder icon next to the box marked “Local Root Folder” and browse for the folder you created earlier. Repeat this step to identify the “Default Image Folder”.

Next you need to click on the Remote Info category on the left of your screen. This is where you tell Dreamweaver how to connect to the server that contains your web pages. For a public website, choose FTP as the access method and ask your web hosting company for the other details required. For an intranet, choose Local/Network as the access method and navigate to the server and sub-directory containing your company intranet.

Before you start entering content in your pages, it is useful to create and save all the sub-directories and pages your site will need. Create each page (leave it blank) and save it in the appropriate folder with the appropriate name. Creating and naming every page in your site offers the benefit that you will now be less likely to have problems with links since, whenever you want to link to a file, the file will already be there; you can just browse for the file and Dreamweaver will automatically create the link for you.

Naturally, you will want to ensure that there is some consistency within your pages with some elements that remain the same as visitors move from page to page. One of the best ways to achieve this is to create at least one Dreamweaver template. Templates contain the basic design and layout that you want each of the pages to have as well as editable regions which can be modified each time you apply the template to a page.

When you have finished your template, you can finally begin entering content into your web pages. When you open each page, begin by applying the template to the page. Then enter the page content into the editable regions. If you spot an error on the main layout, just go back to the template to correct it.

Most people’s first knowledge of Excel VBA (or Visual Basic for Applications) is recording a macro. Recording macros is excellent for really simple operations such as producing a simple report. However, there are definite limitations to this approach. Firstly, because Excel plays back the steps just as they were originally performed by the user, recorded macros are notoriously slow to play back.
